The successful candidate will provide comprehensive administrative support to solicitors and legal professionals, contributing to the efficient operation of the firm.
A day in the office will look like:
- Provide administrative support to solicitors and legal staff, including managing diaries, scheduling meetings, and coordinating appointments.
- Prepare and format legal documents, including letters, contracts, court forms, and briefs, using word processing software and following UK legal formatting standards.
- Organise and maintain physical and electronic filing systems, ensuring all documents are accurately labeled, filed, and readily accessible.
- Proofread and edit legal documents for accuracy, consistency, and adherence to legal requirements and firm standards.
- Assist with document production and preparation for court filings, hearings, and meetings, ensuring deadlines are met and documents are properly filed and served.
- Answer phones, screen calls, and take messages for solicitors and legal staff, handling inquiries professionally and efficiently.
- Coordinate with clients and other parties involved in legal matters to schedule appointments, meetings, and conferences.
- Assist with billing and invoicing tasks, including recording time entries, preparing invoices, and following up on outstanding payments.
- Maintain confidentiality of sensitive information and adhere to data protection regulations and professional standards in handling client matters.
Desired candidate:
- Previous experience working as a legal secretary is required
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software
- Excellent typing and word processing skills, with a high level of accuracy and attention to detail.
- Strong organisational and time management skills, with the ability to prioritize tasks and manage competing deadlines effectively.
- Excellent written and verbal communication skills, with the ability to communicate professionally with clients, colleagues, and external parties.
- Ability to work independently with minimal supervision and collaborate effectively as part of a team.
- Discretion and integrity in handling confidential information and maintaining client confidentiality.
- Flexibility to adapt to changing priorities and work in a fast-paced legal environment.
- Legal secretarial qualifications or relevant certifications are desirable but not essential.
