Purpose of job:
  1. To be responsible for supporting the grounds maintenance team providing a complete support, administrative, and information service.
  1. To provide a range of administrative services and to participate in knowledge transfer and generic working
  1. To assist in the implementation of information systems across the Division.
  1. To work closely with the other teams in the division and develop close functional links with these teams.
  1. To administer staff absence, sickness leave, recruitment and selection process for the Division, other associated records providing data as required to managers.
  1. To support the training and induction of staff within the grounds maintenance team.
Key Accountabilities.
  1. To be responsible to the Service Manager and to assist in the provision and co-ordination of an administration service for the grounds maintenance team.
  1. To be responsible for preparing agendas, circulating papers, and minuting meetings, to assist in the preparation of reports for Members, officers and other agencies.
  2. To load orders for all the works programmes that are produced by the contractors, to maintain adequate supplies of stationery and office equipment, to undertake filing, printing and preparation of documents.
  1. To load all contract information e.g. fire risk assessments, asbestos reports, CDM information etc and regularly update the Division's information systems.
  1. To prepare completed works reports from Universal Housing and Servitor.
  2. To monitor correspondence and ensure that corporate response targets are met.
  1. To produce the monitoring of corporate and departmental targets relating to your contract area.
  1. To develop generic working skills and to take part in knowledge transfer amongst the teams.
  1. To provide support in the annual process of setting budgets and closing accounts and to collect information needed for statistical and statutory returns.

Qualifications and Knowledge Requirements:

  • A comprehensive working knowledge of administrative in a large, diverse and dynamic organisation
  • Able to work with minimal supervision, have enthusiasm and the ability to learn and develop skills and knowledge.
  • Ability to work within a generic structure and to respond to specific operational issue
  • A proven track record of achieving and delivering a high quality administrative support service, including the arranging and servicing of meetings
  • Proven experience of providing a range of support services including effective oral and written communication, diary management, drafting letters, memos and reports on behalf of senior managers.
  • Able to work in a team and to gain the respect of colleagues, have an understanding of supervision and management and the importance of training.
  • Successful experience of organising and prioritising large workloads including experience of co-ordinating various projects at one time.
  • Experience of preparing written work and undertaking calculations
  • A knowledge of the requirements of delivering a quality public service in a customer focussed environment
  • An understanding of budgets and why they need to be controlled and monitored.
  • An understanding of the effects of discrimination and exclusion against certain groups of service users and employees and an ability to eradicate such discrimination through promotion of inclusiveness and equality of opportunity.
  • An understanding of the operation of local government, including the current financial, legal and political issues facing the public sector.
  • Experiencing of working in a diverse and changing environment.
  • Available to work flexible hours on occasions to ensure that deadlines are achieved and work is completed on schedule.
