Purpose of the Role

The main purpose of the job is supervising all aspects of the day to day running and maintenance of the property or properties under the job holders control, including the immediate supervision of staff (if appropriate) and contractors and ensuring the required standards are achieved and maintained at all times.

Key Responsibilities

  1. Assist the Building Manager to ensure that the Savills Dashboard is up to date and complete at all times.
  2. Support the Reception Host with FOH duties and cover lunches/breaks.
  3. Carry out monthly checks in line with RFM.
  4. Assist with the arrangement of any viewings on behalf of the landlord and relevant agents.
  5. Assist in the management of landlord contractors to site, ensuring the site team or tenants are informed of their arrival, contractors are inducted and managed whilst on site and all works are completed as required whilst high standards of work are achieved and maintained at all times.
  6. Assist in the management of the cleaning contractor for site, conducting regular audit/walkabouts, attending monthly meetings to ensure a strong working relationship is maintained, log contracted hours and ensure relevant cleaning operatives are on site and continue to monitor day to day performance levels.
  7. Assist with the co-ordination of the full range of service charge recoverable services, ensuring compliance with specified standards, quality, time scale and cost objectives.
  8. Production and co-ordination of information in line with Savills and client requirements.
  9. Create and maintain an effective and helpful relationship with tenants; attend regular meetings, feeding back on outstanding items and updates.
  10. Establish and implement best practice whilst ensuring safe working practices are complied with at all times.
  11. Ensure appropriate, clear and continued communication lines are established and maintained for all tenants on site, ensuring relevant useful and important information is shared in a timely manner.
  12. Take the lead on tenant engagement activities on site for all tenants, sharing ideas and suggestions with Savills colleagues.
  13. Build and maintain strong communication links with the site M&E team to ensure reactive calls are logged and completed in a timely manner and if required, communications are sent to the relevant persons providing updates and feedback on close out.
  14. Carry out any other reasonable request of the Property Surveyor or RFM including the leading of projects relevant to the continued improvement of the site i.e. seeking accreditations, collation of any data for site and logging of monthly utility readings for site.

Safety & Security

Ensure compliance with all client and Savills procedures and policies, including health and safety, COSHH and environmental matters.

Ensure compliance with all statutory requirements and codes of practice, health and safety requirements.

Supervise the security contractor during periods when a relief guard is working on site.

Promotions/ Public Relations

  1. Establishing and developing good relations and partnerships with various authorities and local agencies, notably:-
    1. Local authority
    2. Police
    3. Fire brigade
    4. Public transport providers
  1. Oversee all promotional activities arranged by Reception Host are carried out with due care and attention to the health safety and welfare of staff customers and occupiers.
  2. Establish and develop close working relationships with tenant representatives and manage tenant satisfaction, and confidence in Savills service delivery.

Quality Assurance

  1. Adhere to all quality assurance requirements.
  2. Ensure compliance at all times with operational standards.

Working Hours - Monday-Friday 

Salary - £29,500.00
