Role Overview:

As a HR Support Administrator, you will play a vital role in our HR Employee Solutions (ES) team, providing comprehensive support across various HR disciplines. From employee relations to talent management, you will be instrumental in ensuring seamless HR operations and contributing to the overall success of our firm.

Key Responsibilities:

  • Act as the first point of contact for general queries from employees and the Business, providing timely and accurate responses.
  • Maintain and update the central HR database, Workday, and various other systems, ensuring data integrity and accuracy.
  • Support HR Business Partners with ad hoc tasks and queries, facilitating effective communication and collaboration within the HR team.
  • Liaise with the HR Service Centre (HRSC) regarding the termination process of employees, ensuring a smooth off-boarding experience.
  • Serve as a point of escalation for the HRSC, addressing queries and resolving issues related to the off-boarding process.
  • Coordinate with payroll for any monthly compensation changes or requirements, ensuring timely and accurate processing.
  • Administer the Senior Advisor process, managing onboarding, reporting, invoice processing, documentation, and database management.
  • Assist in resolving Senior Manager Certification Regime (SMCR) queries and escalations, providing support to an offsite SMCR internal team.
  • Coordinate the New Hire Form process, liaising with HR teams as necessary to facilitate seamless onboarding of new employees.
  • Assist with the Fitness and Propriety Annual Assessment and Code Staff Annual Review, ensuring compliance and accuracy.
  • Manage the Regulatory Communications Tracker, ensuring timely communication and compliance with regulatory requirements.
  • Update the HR Communications Forward Plan with upcoming activities and initiatives, ensuring effective communication within the organization.
  • Conduct regular data audits to ensure data accuracy and integrity, liaising with the reporting team for data updates or corrections.
  • Assist in the creation of basic ad-hoc and headcount reports, providing valuable insights to HR leadership and stakeholders.

Skills Required:

  • Proven administrative experience within a Human Resources function or a corporate department, with a solid understanding of HR processes and procedures.
  • Strong interpersonal skills and the ability to communicate effectively with individuals at all levels of the organization.
  • Methodical, rational, and logical approach to problem-solving, with excellent attention to detail.
  • Numerical proficiency and strong Excel skills, with the ability to analyze and interpret data effectively.
  • Ability to multitask and manage time effectively in a fast-paced environment, prioritizing tasks based on importance and urgency.
  • Ownership mentality, with a proactive approach to work and a willingness to take initiative.
  • Strong team ethic and proven ability to work collaboratively with cross-functional teams.
