Seeking a highly experience PA for executive director in a busy working environment, attention to detail and confidentiality are a requirement of the role, diary management, excellent communication skills both written and verbal. Working knowledge of copilot is desirable, can be trained.

Key Responsibilities

  • Undertake general business support including word processing, photocopying, filing, emailing and dealing with mail.
  • Produce high quality documentation including letters, reports, graphical documents etc., utilising appropriate Microsoft packages using advanced functionality such as mail-merge, charts, graphs.
  • Establish, use and maintain appropriate office systems, ensuring that information is accurate and stored with regards to the confidential nature of the post.
  • Undertake diary management, arranging meetings and appointments as well as ensuring the organising, prioritising and tracking of workloads.
  • Service meetings, preparing relevant documentation and ensure that outcomes are recorded and actioned.
  • Deal with telephone and face to face enquiries, providing advice, guidance and information as appropriate, assisting other officers and outside bodies as necessary to resolve issues.
  • Undertake research and project work which may vary widely in complexity and detail as required.
  • Liaise, negotiate and collaborate with internal and external stakeholders including politicians, government departments and other senior executives.
  • Where appropriate, take ownership of specific issues within the service, coordinating and monitoring milestones through to resolution.
  • Undertake research on Council related policy and general issues as directed, preparing reports and analyses of issues as necessary.
  • Maintain an awareness of and monitor developments in relation to live issues and key policies in relation to the service to enable workloads to be prioritised

Key Skills and Experience

  • Considerable experience of working in a secretarial environment and/or senior administrative role.
  • Considerable experience of working with highly confidential, sensitive and contentious information.
  • Experience of utilising advanced functionality within Microsoft products e.g. Word, PowerPoint and Excel to produce professional documentation.
  • Experience of establishing business systems, processes and procedures to increase efficiency.
  • Experience of managing a heavy and challenging workload.
  • Experience of servicing meetings and minute taking directly onto mobile devices at speed and with accuracy.
  • Knowledge of the functions and activities of the Council or relevant service and its key partners.
  • Awareness of current challenges affecting local government or relevant service.
  • Knowledge of IT solutions and their use in a business environment.

  • Willing to work flexibly in accordance with policies and procedures to meet the operational needs of the council.
  • Willing to undertake training and continuous professional development in connection with the post.
  • To be part of the Out of Hours " on Call "Rota supporting the relevant Director
  • Work in accordance with our values and behaviours, as part of an inclusive and high performing council
  • Able to undertake any travel in connection with the post.
