Our client is an International logistics provider that offers bespoke solutions for art handling, installation and art transport. A trusted partner to leading artists, commercial galleries, collectors, and public museums worldwide.

The company are renowned for fantastic training, development of their staff via inhouse and external training courses and offer great support across the company for all members of staff.

They are now looking to for a Warehouse Administrator to join their busy team based in Hertfordshire.

This represents an amazing opportunity to enter the Art Logistics Industry, a truly niche and amazing space to work in.

As the Fine Art Warehouse Administrator, you will be accountable for assisting with coordinating and supporting the internal operational teams. Along with the administration of stock within 5 warehouses; this includes receiving, issuing, and dispatching artwork, and handling communication between clients and warehouse teams.

You will be responsible for the data entry accuracy and inventory of stock. This involves processing requests, taking records, and documenting the details. One of the main focuses is to provide high-quality and timely logistics support and co-ordination for jobs being carried out all over.

Main Responsibilities:

  • Receiving and booking in inbound shipments into database system from relevant warehouses
  • Create warehouse tags for pallets/cartons/pieces received into the warehouse.
  • Handling the booking list for all artwork received into the warehouse.
  • Communicate any receiving issues and/or discrepancies to the Installation Coordinator and team.
  • Scan all receiving and release paperwork into database and update warehousing management system.
  • Attach the receiving delivery paperwork to the assigned project in database onto Outlook calendar.
  • Create and upload delivery paperwork to transport planning board for upcoming C&D and internal transfers between locations as needed.
  • Allocate warehouse receiving time against the project documented on the packing list to manage extra charges for month end invoicing.
  • Research unknown shipment receipts and discrepancies in database, inform Warehouse Administration Manager and work closely with teams to resolve.
  • Create and update inbound shipments for RTW (Return to Warehouse). Notifies Warehouse Administration Manager and Warehouse Manager(s) as needed if there are issues or discrepancies.
  • Assist Warehouse Administration Manager with prioritisation and allocation of warehouse technicians and tasks.

Essential Skills:

  • Previous experience in a similar role within a logistics, or a customer service or client relations, environment would be advantageous.
  • Ability to develop a strong working relationship with all levels of employees.
  • Providing administrative support and assistance in providing an efficient and effective service to contribute to the achievement of departmental objectives.
  • Stock control - Make sure stock reports are accurate with regular storage audits which maintain production of accurate monthly storage invoices for clients.
  • Responsible for the data entry accuracy and inventory of all stock.
